FAQs

Accounting Memos, Explained

What is an accounting memo?

An accounting memo is a written record that explains and supports a position taken in the financial statements. It sets out the transaction or event, the accounting standards applied, and the reasoning behind the treatment chosen. Memos are used for complex transactions, accounting judgments, policy interpretations and unusual events, giving auditors and future readers a documented trail instead of an undocumented decision.

When does a transaction need a memo?

Prepare one whenever the accounting involves judgment or falls outside the routine: significant estimates, new types of transaction, unusual or complex events, and interpretations of accounting policy. A useful test is whether a colleague or an auditor reading the entry a year later would ask why it was treated that way. Documenting the decision at the time is what supports transparency and audit readiness.

What should a memo contain?

A complete memo describes the nature of the transaction, the relevant accounting standards, the assumptions made, the judgments applied and the rationale behind the accounting treatment. Clarity, accuracy and completeness matter most, because the reader is usually an auditor or stakeholder reviewing the position without your context. Where estimates are involved, the estimation method and its basis belong in the memo too.

Which areas most often need documented judgment?

The recurring ones are revenue recognition, asset impairment, leases and fair value measurements. Each involves significant judgment, so the basis of the judgment, the assumptions and the estimation methods should be written down. Well-supported documentation in these areas reduces the risk of misinterpretation or dispute during audits and regulatory reviews, which is where thinly supported positions usually come apart.

How do memos help during an audit?

Well-prepared memos facilitate smoother audits and reduce the risk of adjustments, because the auditor can see the standards applied and the reasoning without reconstructing it. They also let you defend the accounting treatment with clear documentation rather than recollection. Memos reviewed in advance for completeness, accuracy and compliance with standards are stronger still, since gaps close before the auditor finds them.

Do memos need updating once they are written?

Yes. Memos should be updated as accounting standards or the underlying circumstances change, otherwise the documentation supports a position that no longer matches the facts. Standard templates and consistent storage procedures make that maintenance manageable, and they mean every relevant transaction and decision has a memo that can be located and reviewed when it is needed.
